Planning Your Company's ERP System

The implementation of an ERP system in your organization takes serious focusing on how it will change the entire internal structure of your business.  The development of one of these packages will require training the staff in the new system, developing resources to keep the business moving and functioning at full capacity during implementation, and simply making sure that the paper trail from old package to new package is complete and auditable if necessary. The manager in charge of ERP planning will usually seek help outside of the company to find the right package for the organizations needs.  Many people have made a career out of ERP planning and they can usually be found working in consulting, customization, and support ERP services.  Additionally, managers may also use professionals with careers in independent program management, business analysis, change management, and UAT specialists in or outside the company to help them plan the ERP system needs. The most important part of ERP planning is data migration.  Most of the planning is done prior to the migration itself.  The migration of data is the last thing that is done before the production phase of the ERP implementation and usually receives the least amount of attention by developers.  There for it is up to the organization to make a plan and put it into effect prior to the migration so that they know their data is accurate and ready to go live when the ERP system does. ERP planning managers should take the following steps before migrating the data:

  1. Identify exactly what data should be migrated and cull any extraneous information that is no longer viable for the company’s daily operations.
  2. Determine the date by which data migration will occur based on how much the organization will have to do to prepare the data.
  3. Generate data templates.
  4. Freeze all the tools needed for data migration.
  5. Determine if there are any related set-ups that will be needed for migration.
  6. Determine how all of the data will be backed up and archived prior to the migration and afterwards.
 Once these steps are taken and plan put into place, data migration and ERP set-up should be fairly easy with little to no problems.  Plus, each of these steps can be taken for the data to be migrated in each individual department so that everyone knows when the old system will go down and the new one becomes operational.
